Roster Filters

The filter bar sits above the grid on both the carers roster and the clients roster. Use it to find one person quickly, narrow the grid to the carers or clients you're working with, and highlight bookings that have changed.

ℹ️ Filters narrow what the roster shows. Your team selection still decides who you can see, and nothing on the filter bar can show anyone outside it.

Search for a carer or client

Type in Search carers (on the Carers view of the roster) or Search clients (on the Clients view of the roster) at the start of the bar. The roster narrows as you type.

  • On the carers roster, search matches first name, last name, preferred name and reference code.

  • On the clients roster, search matches name and reference code.

Add a filter

  1. Select Add filter.

  2. Choose what to filter by.

  3. In the menu that opens, choose one or more values. The roster updates as soon as you choose. The number next to each value is how many rows would match it with your other filters applied.

  4. Select Done, press Esc or click outside the menu to close it.

The filter stays on the bar as a chip showing what you chose. Select the chip to change it.

  • Select all chooses every value in the list as it stands. Values added to your account later aren't included automatically.

  • Long lists have a search box at the top of the menu.

  • If you close a menu with nothing chosen, the filter comes off the bar.

  • To remove a filter, open it and select the Remove filter button on the left of the menu.

How filters combine

  • Choose several values in one filter, and a row only has to match one of them. Job title set to Senior carer and Team leader shows carers with either title.

  • Add more filters, and a row has to match every filter on the bar. Job title set to Senior carer, plus No visits today, shows senior carers with nothing booked.

Marked visits

Some filters describe a visit rather than a person. On the carers roster these are Postcode and Booking type. On the clients roster it's Visit round.

For these filters, the whole row stays on screen and the visits that matched are marked with a ring inside the booking: a dark outline with a thin white line inside it. You can see which of a carer's visits are in that postcode area without losing the rest of their day.

If you only want the rows, open the filter and untick Mark matching visits.

Highlight bookings that changed

The Highlight controls at the end of the bar pick out bookings without removing any rows.

  • Changed since highlights bookings changed in the Last hour, Today or Yesterday.

  • Moved by at least highlights bookings moved from their original time by at least the amount you enter, such as 0:30 for half an hour or 1:15 for an hour and a quarter.

Highlighted bookings get the same ring as marked visits, with an amber line inside the dark outline instead of a white one. A booking that's marked and highlighted shows both lines. Nothing else on the grid fades, so every booking stays readable.

To turn a highlight off, open it and select Remove highlight. Highlights clear when you change the date, because they're relative to the day you set them on. Filters stay.

ℹ️ On very narrow bookings there isn't room for the inner line, so marked and highlighted bookings both show the dark outline only. Screen readers still say which it is.

Knowing when the roster is filtered

While any filter or search is applied:

  • The status bar at the bottom of the screen turns purple and shows a filter icon.

  • It shows how many carers or clients are showing out of the total, such as 12 of 140 carers, and how many events are on the rows shown.

  • A line says how many rows are hidden by filters.

  • Clear filters removes every filter and the search in one go.

If no rows match, the grid says No carers match these filters (or clients) and tells you how many there are in total, so you know it isn't empty or broken. The bar stays usable, so you can loosen one filter without clearing them all.

Unallocated rows

The UNALLOCATED rows follow the filters too, so the count and the grid always agree.

  • Team keeps the unallocated row for the teams you chose and hides the others.

  • Postcode and Booking type keep an unallocated row with a matching visit.

  • No visits today keeps the unallocated rows, so you can drag unallocated visits onto carers who have room.

  • Filters that only describe a carer, such as Job title, Contract type, Carer group and search, hide the unallocated rows.

If you unallocate a visit while filtered, its unallocated row appears and stays until you next change a filter.

Editing while filtered

The roster checks rows against your filters when you change a filter, not after every edit. If you drag a visit onto a carer who then no longer matches, their row stays where it is, labelled No longer matches, until you next change a filter. This also applies to visits you've moved but not yet saved with Preview & save.

Share a filtered view

Your search and filters are kept in the page address. Copy the address from your browser's address bar and send it to a colleague, or bookmark it, and the roster opens with the same filters.

  • The date you're viewing is in the link too. Highlights aren't.

  • Team selection isn't in the link. Each person sees the filters applied to their own team selection, so two people opening the same link can see different totals.

  • If a value in the link no longer exists, for example a job title that's been deleted, the chip shows Job title: value not found. The rest of the filters still apply. Remove the chip when you're done with it.

  • If the link has been cut short or can't be read, the roster opens without filters and says so.

Switching between rosters

The carers and clients rosters each keep their own filters while your browser tab is open. Switch to clients and back, and your carer filters are still there. Opening a link with filters in it replaces the ones you had.

Changing the date keeps your filters and search.

Common questions

A carer I expected isn't on the roster.

Check whether the status bar is purple. If it is, a filter or search is hiding them: select Clear filters. If it isn't, check your team selection.

Does Job title show who's allowed to do a visit?

No. It filters by the job title on the carer's record, not by what they're able or allowed to do.

Why do my colleague and I see different numbers from the same link?

Team selection belongs to each person and isn't part of the link.

Will filters make the roster load faster?

No. Filters change what's shown once the roster has loaded.
