Getting Started with the App

The carer companion app is the interface with which carers will access the software. The app allows carers to check in and out of visits, complete tasks relating to the visit, leave notes for the office/other carers and contains their rota.

 

ℹ️ Some settings are configurable by your system administrator so there may be a slight difference in what you are able to do

 

Logging in

You will need to enter:

  • Your company's server URL which will take the form of .carelinelive.app

  • The email address associated with your user account

  • The password associated with your user account to log into the app.

Your office team will be able to provide all of these details to you when they have been set up.

 

Home page

This is the first screen you will see once you are logged in.

 

 

Upcoming visit

If there is a booking scheduled for within the arrival punctuality time, a card is shown displaying information about the booking and an option to view the tasks and check in.

ℹ️ The default arrival punctuality is two hours before and after the planned start time. This can, however, be amended in the management portal in Settings → App config.

 

 

Rota

All of your scheduled bookings are displayed within the rota screen.

You may tap a booking to view more about it. Once a booking has been completed, a green bar mark will appear beneath it stating this. Any visits that have started but not finished will have a purple bar stating that it is in progress.

 

 

Refreshing your rota

While you have a stable internet connection, your rota will automatically update with any changes made by the office and send any data you have recorded in the carer companion app.

We recommend regularly checking the "Last Synced" status in the purple banner at the top of the rota screen says "Just now", "Just a moment ago", or similar. This ensures the carer companion app is using the latest data. You can tap the refresh wheel or drag down the page (until the refresh indicator starts spinning) to manually force your carer companion app to update with the latest data.

 

Checking in to a booking

To check into the booking, you can either tap the booking from either the home page, or from the roster page. You will be able to view certain pieces of information on the overview tab and can see what tasks there are to complete before checking in but you will be unable to complete any tasks without checking in.

 

 

Click the check in button to bring up the QR code scanner, scan the client's marker and click check in to confirm your check in. It is only at this point that the timestamp and location are taken.

 

This screen will also show the location accuracy from your device, you may be asked to wait five seconds for a more accurate location.

 

 

Once checked in, you will see your arrival time and expected finish time at the top of the overview tab.

 

 

Overview tab

The overview tab shows general information about the client.

 

Contact the client

With one click on the clients name you can call them direct from the app, making it easier to communicate with the client and possibly share your ETA before arriving.

 

View agenda

You can view the client's bookings, both upcoming and previous.

 

Documents

View documents that have been uploaded to the client's record and shared with the carer app.

 

Address

The client's address will be displayed here, you will be able to access this prior to the visit and it will show up on the home page if this is your next visit. Clicking on the get directions option will open up Google Maps to allow you to see it on a map and get directions if necessary.

 

If there is any access information, this will be displayed beneath.

ℹ️ iOS users must install the Google maps app to provide the most accurate location data for the visit.

 

 

Care package summary, rota comments and carer notes

The information entered into the client's care package summary text field and the rota comments field will be displayed here.

 

If there are any carer notes assigned to the booking or schedule entry, these will also be displayed here.

⚠️ The carer notes do not refer to the notes left by carers and are added on to the booking from the management portal

 

Tasks

If there are any tasks to complete during your visit these will show up in the tasks tab. Although both general and medication tasks show up in this section, you can click on the medication or tasks buttons above the tasks to only show that type of task.

 

 

To complete or action a task, tap on the one you want to action. Select a completion status from the list and enter any comments if necessary. If it is a medication task, you can add in the dosage given as well.

 

 

Any actioned tasks will jump to a different section below any remaining incomplete tasks and will have a completion code next to it.

 

 

Previous tasks

You can view previous task completions by clicking into the previous tasks tab. This will show previous completions and relevant timestamps.

 

As Required Medication (PRN)

Any PRN medication that the client requires can be found in the 'As Required' tab within tasks. It will show the dosage, the minimum number of hours you must leave since it was last administered, and the maximum number of doses per day. These will turn red if the carer companion app finds insufficient time has passed since the PRN medication was last administered to this client.

 

 

You can tap on the PRN medication to view the previous completions.

 

 

You can add a completion to the PRN medication, and you will have similar options for completions as you would for scheduled tasks and scheduled medications.

 

 

Once completed, you will see a warning of how long you will need to wait before administering again.

 

 

Notes

Leaving a note

To leave a note, tap the + icon in the bottom right and select the note option. This can be done from any page. Type out the note and click save. Other carers will be able to view this within the app and it can be viewed in the management portal too.

 

 

Viewing previous notes

All previous notes and handover notes can be viewed in the notes tab for the client. Handover notes will be depicted in a purple box. You can use the filter buttons at the top to show only handover notes, or even just your own notes.

 

 

Observations

To add an observation, you can either click into the observations tab or click the + button to the bottom right and select new observation. You will then need to select the category you need.

 

 

Concerns

When recording a task/medication completion, note, or observation, you can tick the "Report a concern" checkbox at the bottom of the screen to raise something concerning. You will need to choose a severity and enter additional comments. These concerns will be visible in the management portal, who can help resolve each concern or escalate them into incident reports.

 

 

Body Map Annotations for Concerns

When raising a concern, you will also have the option to add a body map annotation to specify where on the body is affected should it require further investigation. You will need to select a body part and enter a description. You can also specify further details about exactly where is affected at the bottom. The annotations on the body map you record will be available to view on the management portal.

 

 

Photos

Photos can also be left against notes, tasks and observations. Click on the photo icon and take the photo before saving it.

⚠️ You must take the photos from within the app, photos taken outside the app cannot be uploaded to the app. Photos taken within the app will not be saved to your phone's photo gallery or camera roll

 

Check out

To check out, click the purple button with the arrow in. This will bring up the camera to allow you to scan the QR code again to check out. This will bring up a summary of the visit with any tasks and their completion status. At the bottom of this page, there is a section to leave handover notes, for the next carer and check out comments for the office.

 

 

You can also leave a handover note for the next carer as well as a check out comment which will only show in the management portal for office use.

 

 

Settings

 

Account

The user account currently logged into the app and email address associated with it.

 

Choose theme

Choose how the app appears from:

  • Dark

  • Light

  • System default

Refresh config

Forces the app to re-sync the app config if any changes have been made.

 

Force sync

Tapping this button will refresh the data required by the app. The date and time of the last synchronisation is also displayed.

 

Use new sync mechanism

Enable or disable the new sync mechanism. It is recommended that this is enabled.

 

Compress and upload photos

If any photos taken during visits haven't been uploaded, this option will force them through.

 

Notifications

You should receive a 10 minute notification before the start time of each visit, this option will disable that. All other notifications will not be affected by this.

 

Version

This is the version of the app that you have installed.

Log out

This will log you out of the app.
